ProsSight is a client portal and reporting platform that accounting and tax firms use to show their clients financial reports, tax estimates and planning information. ProsSight is operated by [ProsSight legal entity name, LLC] ("ProsSight," "we," "us"). This policy explains what information we collect, how we use it and the choices you have.
Who this policy covers
- Firms: accounting, bookkeeping and tax firms that subscribe to ProsSight ("Firms"), and their staff.
- Clients: businesses and individuals who use a Firm's ProsSight portal ("Clients").
- Visitors: people who visit prossight.com.
Firms decide which Clients are invited and what information their portal shows. For Client information, the Firm controls the data and ProsSight processes it for the Firm, as its service provider. If you are a Client, your Firm's own privacy notice also applies, and you can contact your Firm with questions about your information.
Information we collect
Account information
Name, email address, phone number, firm or business name, role and login details, including two-factor authentication settings.
Accounting data from QuickBooks Online
When a Client or Firm connects a QuickBooks Online company to ProsSight, the connection is made through Intuit's official authorization screen. We never see or store your QuickBooks password. With your permission, we read:
- Company information (company name, address, fiscal year, accounting basis)
- Financial reports: profit and loss, balance sheet and cash flow
- Chart of accounts
- Vendors and spending by vendor
- Transaction details needed to produce the reports above and to show a Client questions from their bookkeeper about uncategorized transactions
Our access is read-only. ProsSight does not create, change or delete anything in your QuickBooks company.
Information created in ProsSight
Your Firm may enter tax projections, estimated payment amounts, prior-year tax figures, planning strategies, estimated savings and action items. Clients and Firm staff may also exchange messages in the portal. ProsSight does not collect Social Security numbers, tax returns or tax documents, and asks users not to put them in messages. Those stay in your Firm's secure document systems.
Usage and device information
Log data such as IP address, browser type, pages viewed, login times and actions taken in the portal. We use it for security, troubleshooting and audit logs.
Questions to the AI assistant
If you use the in-portal AI assistant, we process your questions and the dashboard data needed to answer them. See "AI features" below.
How we use information
- To provide the service: sync accounting data, calculate reports and estimates, and show them in your Firm's portal
- To flag planning opportunities for your Firm's professionals to review
- To secure accounts, prevent fraud and keep audit logs
- To provide support and send service messages (for example, that a QuickBooks connection was disconnected)
- To improve the service, using aggregated or de-identified data
- To meet legal obligations
Industry benchmarks
ProsSight may compare a business's results to similar businesses (for example, materials as a share of revenue). Benchmarks are built only from aggregated, de-identified data and never reveal any individual business or Client.
AI features
ProsSight uses AI to answer questions about a Client's own dashboard data and to draft planning opportunities for Firm professionals.
- What the AI receives: report-level figures (such as totals, margins and tax estimates) for the Client who is signed in, plus the question asked. When sorting uncategorized transactions, it may receive the transaction date, amount, vendor name and description.
- What the AI never receives: Social Security numbers, EINs, bank or account numbers, passwords or tax documents.
- AI chat answers come from the data in your portal. They are not professional tax, legal or financial advice, and planning questions are passed to your Firm.
- AI-drafted planning strategies are reviewed and approved by a Firm professional before they are shown to a Client.
- ProsSight does not give investment advice or recommend investments, securities or providers. Retirement contributions may appear only as tax strategies a licensed professional at your Firm has approved.
- Our AI provider, [AI provider name], processes data under terms that prohibit using it to train their models and limit how long it is kept.
How we share information
- With your Firm: Client information is visible to the Firm that invited the Client and to that Firm's authorized staff.
- With service providers that help us run ProsSight. They may use information only to provide services to us.
- With Intuit, as needed to maintain the QuickBooks connection under Intuit's terms.
- For legal reasons: to comply with law or legal process, or to protect rights, safety and security.
- In a business transfer, such as a merger or acquisition, subject to this policy.
One Firm never has access to another Firm's data or Clients.
